What is ProvExpense?
ProvExpense is a self-employment expense tracker designed around one idea: your tax records should not require a accounting degree. Built specifically for realtors, independent contractors, and freelancers, it handles the tedious parts — mileage logs, receipt photos, income records — so you don't have to reconstruct them in April.
The app runs on your phone. You log a trip, snap a receipt, record a payment. At the end of the quarter, you have a clear picture of what you've earned, what you've spent, and what you likely owe in self-employment tax.
Who is ProvExpense for?
ProvExpense was built for three types of self-employed professionals:
- Real estate agents — Agents who drive clients around, attend showings, and need IRS-compliant mileage logs. The app automatically captures GPS trips and produces a mileage report for Schedule C.
- Independent contractors — General contractors, electricians, plumbers, handymen who deduct vehicle mileage, equipment, and materials. Receipt capture makes it easy to log expenses on the job site.
- Freelancers and consultants — Anyone who earns 1099 income and needs to track business expenses, home office deductions, and client payments throughout the year.
Why we built this
The average self-employed professional misses over $5,000 in deductions every year — not because the deductions don't exist, but because the records aren't good enough to defend them. Mileage logs are incomplete. Receipts are lost. Income and expenses are tracked in a spreadsheet that doesn't talk to anything else.
ProvExpense exists to close that gap. We believe expense tracking should be something you do in 30 seconds at the end of a meeting or a job, not something you spend hours reconstructing on a Sunday night before a filing deadline.
ProvExpense is free to start. No credit card required. The core expense and mileage tracking features are available without a subscription.
What you get
- ✓Automatic GPS mileage tracking — Log business drives automatically. Export IRS-compliant mileage reports for Schedule C ($0.70/mile, 2026 rate).
- ✓Receipt capture — Snap a photo of any receipt. The app stores it, categorizes it, and links it to an expense entry.

- ✓Quarterly tax estimator — See your estimated self-employment tax and quarterly payment due dates throughout the year, not just at filing time.
- ✓W-9 management — Collect and manage W-9 forms from contractors and vendors. Track 1099-NEC eligibility as you pay them throughout the year.
- ✓Pro tax archives — Lock in your annual records at year-end. Mileage log, expense report, and income summary PDF — ready for your accountant or your filing software.
Common questions
- Is this the same as QuickBooks or Expensify?
- ProvExpense is purpose-built for self-employed individuals who file Schedule C. QuickBooks is accounting software for businesses with employees and more complex bookkeeping needs. Expensify is broader but not focused on the specific deduction categories and mileage workflows that realtors and contractors need. ProvExpense does one thing well: keep your tax records clean from day one of the year, not day one of tax season.
- Do I need to be a Pro subscriber to use the mileage tracker?
- No. Automatic GPS mileage tracking is available on the free plan. Pro ($4.99/month) adds quarterly payment tracking and annual tax archives.
- Is my data secure?
- Yes. Receipt images and sensitive data (W-9 tax IDs) are encrypted at rest using AES-256-GCM. All data is transmitted over HTTPS. We do not sell or share your personal information with third parties.
- Can I export my data?
- Yes — at any time, from Settings > Export Data. You can download all expenses, trips, receipts, and income entries as a CSV or ZIP archive.
